Manage groups
This guide explains how to add users to a group, view a group’s members, clone a group, and control its notifications. For how groups relate to roles, see Understanding roles and groups.
Prerequisites
Before you begin, ensure you have:
-
Admin access to the Groups section of Administration.
-
The group you need already set up.
Add a user to a group
-
Navigate to Administration > Groups.
-
Open the group by selecting its name.
-
Select Add User.
-
Search for and select the user.
-
Select Save.
| You add users to a group one group at a time. To add a user to several groups, repeat these steps in each group; there is no way to add a user to multiple groups in a single action. |
View a group’s members
-
Navigate to Administration > Groups.
-
Open the group by selecting its name.
The group’s members are listed on the group page.
Clone a group
Cloning creates a new group with the same configuration as an existing one, which is useful when you need a similar group without setting it up from scratch.
-
Navigate to Administration > Groups.
-
Open the group you want to copy.
-
Select Clone.
Control group notifications
Members of a group can be notified at stages of a project or workflow, for example when a brief is ready for review. For these notifications to be sent, the relevant notification service must be enabled in the group’s settings.
-
Navigate to Administration > Groups.
-
Open the group.
-
Edit the group’s notification settings to enable or disable notifications.
| Turn notifications off while testing a workflow to avoid sending unwanted emails, then enable them before going live. |
Changes that need a configuration request
You can add users to groups and clone groups yourself. Changing a group’s underlying services, or creating a new group with specific service requirements, needs configuration knowledge and is handled as a separate configuration request rather than in day-to-day administration.
