Manage asset availability

This guide explains how to control when an asset is available to end users by setting availability dates, and how to reactivate an asset after its availability window ends.

Prerequisites

Before you begin, ensure you have:

  • Admin access to the Assets section of Administration.

  • Assets already uploaded. See Upload assets.

Set availability dates

  1. In Administration > Assets, select an asset and open it for editing.

  2. Set a start date and an end date.

The asset is available to end users on the front end only within that date range.

You can also set availability dates when you first upload an asset, or across several assets at once. See Upload assets and Tag and edit asset metadata.

Availability dates alone do not make an asset visible. The asset must also have a Phase of Active. See Understanding asset availability.

Reactivate an asset

When the end date passes, the asset becomes unavailable and drops off the front-end portal automatically. It is not deleted, and its Phase is unchanged.

  1. In Administration > Assets, open the asset for editing.

  2. Set new availability dates that fall within a current window.

The asset becomes available to end users again, provided its Phase is Active.

Administration does not currently provide a view that lists assets whose availability has lapsed, so navigate to the asset directly to update its dates.

Record usage rights

Each asset has a usage-rights field for a free-text description of permitted use, such as a licence period for talent or music.

The usage-rights field is informational only. It does not restrict access or change asset behaviour automatically.
